Summary: The Western Albemarle High School Athletic Boosters have submitted a proposal to fund and construct two shelters to house baseball and softball batting cages, and replace an existing scoreboard on the Western Albemarle High School Baseball Field at Brownsville Elementary.

The principal has reviewed and approved the project. The Building Services Department has approved the entire project and will oversee construction to assure that all necessary materials are obtained and meet established specifications; and that the finished project is safe and requires only minimal maintenance. A licensed and insured Class A Contractor will manage and complete the project. The Building Services Department will obtain the necessary project permits.

It is expected that the project will be phased over a few months, with the new baseball shelter and two batting cages planned to be constructed, and the replacement scoreboard installed, prior to April, 2017. The school is committed to having the new softball shelter being completed by the summer of 2017. As noted in Enclosure 1, the project will provide a new shelter and one additional outdoor batting cage for the baseball program, and a new shelter and two additional batting cages for the softball program. The scoreboard will replace an existing scoreboard for the baseball program, as the softball scoreboard was replaced in 2015. When the project is complete, both the baseball and softball programs will have three outdoor batting cages, two of which will be covered by new shelters. The softball program will also have one indoor batting cage.

As noted in Enclosure 2, the Baseball Shelter will be a 24’ x 80’ Pole Barn constructed over two new batting cages and an additional concrete pad will be added to match the pole barn, which will be located behind the 3rd base dugout, as shown in Enclosure 3. No additional lighting is proposed at this time. The softball shelter will be a 40” x 72” Pole Barn, constructed over the two existing batting cages located beyond the center field fence. The new scoreboard, as shown in Enclosure 4, will replace the existing baseball scoreboard.
Funding: The total planned cost of the complete project is $56,700. Western Albemarle HS Athletic Boosters have raised $9,000 cash towards the planned project costs and have received donations of additional materials/resources. None of the projects are completely funded at this time, but are on track to be completed by the summer of 2017. Additional funding or materials in the amount of $6,500 is needed to complete the projects, as noted on Enclosure 1. The Boosters will continue to fund raise to reach the total planned cost of each portion of the project.
Recommendation: Request the School Board to approve the Western Albemarle High School Baseball/Softball Project to construct two shelters to house baseball and softball batting cages, and replace an existing scoreboard on the Western Albemarle High School Baseball Field at Brownsville Elementary, as noted above, and contingent upon sufficient funding.
